Contemporary Staffing Solutions is seeking an administrative and financial professional to join our client in Philadelphia, PA! The Executive Assistant is primarily responsible for assisting with and managing legal and professional documents including wills, trusts, financial information, and property. This Direct-Hire opportunity is offering $120,000-$140,000/year!
Responsibilities of the Executive Assistant include:
Estate law, 401K, Trusts: Working with lawyers to set up the process.
Communication and Correspondence: Handle incoming and outgoing communications related to financial matters, including emails, phone calls, and written correspondence. Prioritize messages, draft responses, and maintain confidentiality as required.
Document Management: Organize and maintain financial and legal documents, files, and records. Ensure proper filing, storage, and retrieval of financial information, following established procedures and compliance regulations.
Relationship Management: Build and maintain positive relationships with clients, vendors, financial institutions, and internal stakeholders. Act as a point of contact and represent the executives in a professional and courteous manner.
Confidentiality and Compliance: Handle sensitive financial information with utmost confidentiality and discretion. Ensure compliance with financial regulations, internal policies, and industry best practices.
Qualifications of the Executive Assistant include:
10 years of proven experience as an Executive Assistant in a professional setting
Solid understanding of estate law, 401K's, Trusts, etc.
Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
Strong written and verbal communication skills, with attention to detail and accuracy.
Proficiency in using office software and productivity tools (e.g., Microsoft Office Suite, Google Suite).
Ability to handle sensitive financial information with discretion and integrity.
Excellent interpersonal skills and the ability to build relationships with individuals at all levels.
Proactive problem-solving and decision-making abilities.
Flexibility to adapt to changing priorities and work well under pressure.
Availability to work outside regular office hours when necessary.
A bachelor's degree in finance, accounting, or a related field is preferred.
