Contemporary Staffing Solutions is seeking a Secretary/Paralegal to join our client in Philadelphia, PA! The Secretary/Paralegal is primarily responsible for providing administrative support and assistance to lawyers and legal professionals in a law firm, corporate legal department, or other legal settings. This Direct-Hire opportunity is offering $50,000/year! 

Responsibilities of the Secretary/Paralegal include:
  • Document Preparation: Legal secretaries draft and type legal documents, including contracts, briefs, pleadings, agreements, and other correspondence. They ensure accuracy, proper formatting, and adherence to legal guidelines.
  • File Management: They organize and maintain legal files, both in physical and electronic formats. This involves creating and updating files, indexing documents, and ensuring proper storage and retrieval of information.
  • Communication and Correspondence: Legal secretaries handle incoming and outgoing communications for the legal team. They answer phone calls, take messages, schedule appointments, and manage the attorney's calendar. They also draft and proofread emails, letters, and other written correspondence.
  • Research and Legal Support: They assist lawyers in legal research, gathering relevant case laws, statutes, and regulations. They may also prepare legal documents such as discovery requests, deposition notices, and subpoenas.
  • Court Filings and Case Management: Legal secretaries help prepare legal documents for court filings, including formatting, assembling, and filing documents with the appropriate courts or agencies. They may also assist in managing case dockets and tracking important deadlines.
  • Billing and Financial Administration: They assist in preparing invoices for clients, tracking billable hours, and managing expense reports. They may also maintain financial records, process payments, and handle billing-related inquiries.
  • Client Interaction: Legal secretaries often interact with clients, providing updates, scheduling meetings, and maintaining positive relationships. They may also handle initial client intake, gather necessary information, and ensure all required documentation is obtained.
  • Legal Software and Systems: They utilize various legal software and systems to perform their tasks efficiently. This includes document management systems, timekeeping software, electronic filing systems, and legal research databases.
  • Administrative Support: In addition to legal-specific tasks, legal secretaries provide general administrative support such as managing office supplies, organizing meetings, coordinating travel arrangements, and assisting with other administrative duties as required.
Qualifications of the Secretary/Paralegal include:
  • High School Diploma required; associate degree or certificate in legal studies preferred
  • Previous experience working in a law firm required
  • Comfortable using various computer software and excellent typing skills
  • Effective verbal and written communication
  • Excellent organizational and time management skills to handle multiple tasks and prioritize deadlines effectively
  • Ability to work well in a team environment, collaborate effectively, and communicate with colleagues and clients in a professional manner.
