The Receptionist is primarily responsible for providing a positive first impression of the organization to clients, visitors, and employees. You will be responsible for managing front desk operations, handling incoming calls, assisting visitors, and performing various administrative tasks to ensure the smooth functioning of the office. Responsibilities of the Receptionist include:

Greeting and Welcoming Visitors: Greet clients, guests, and employees as they arrive, creating a welcoming and professional atmosphere. Provide information and assistance as needed

Answering Phone Calls: Manage incoming phone calls, directing them to the appropriate departments or individuals. Take messages and relay them promptly to the concerned parties

Managing Appointments: Schedule, reschedule, and confirm appointments for clients and employees. Maintain an organized calendar to avoid conflicts.

Handling Inquiries: Address inquiries from clients, guests, and employees regarding the organization's services, facilities, and general information.

Mail and Package Handling: Receive and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages for pick-up or courier services.

Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure reading materials and other amenities are available for visitors..

Administrative Support: Assist with administrative tasks, including data entry, filing, photocopying, and maintaining office supplies. Support other departments with clerical tasks as required.

Communication: Relay messages and information to employees and departments in a timely manner. Handle internal and external communication professionally and efficiently.

Problem Solving: Address any issues or concerns raised by visitors or employees and find appropriate solutions or escalate them to the appropriate personnel.

Technology Proficiency: Utilize office equipment such as computers, printers, and phone systems effectively. Familiarity with software for scheduling, email, and basic office applications is essential.
Requirements of the Receptionist include:
