Contemporary Staffing Solutions is seeking an Event Specialist to join our client for a remote opportunity (must be located in Philadelphia, PA or Dallas, TX)! The Event Specialist is primarily responsible for assisting in the planning, organizing, managing and hosting a wide range of onsite, virtual, and offsite events including small conferences, client, prospect, hospital comarketing opportunities, broker certification training, and social events. This Direct-Hire opportunity is offering $60,000-$70,000/year based on experience and education!
Responsibilities of the Event Specialist include:

Provide full logistical planning and support for all sales and broker related events and meetings, including attendee management, food and beverage, rooming lists, travel arrangements, and audio-visual needs.

Provide hybrid support (ex: zoom) as needed. This would include logging in to the meeting early, checking to make sure audio is working well, screen sharing a deck as needed.

Research and select appropriate meeting, conference, or special event spaces

Handle logistics for large (20+ people) meetings, events, and dinners (internal and external) and work with the business sponsors to coordinate their event needs.

Interact with senior business leaders/executives to understand their event and meeting needs and expectations.

Schedule reservations and transportation for dining events and other activities

Coordinate with internal resources to build agendas, confirm presenter availability, and prepare presentation decks for each event as needed

Act as liaison with all vendors and internal customers

Prepare and reconcile budgets for individual meeting needs.

Provide white glove customer service internally and externally

Partner with marketing team for effective and innovative event promotion as needed

Negotiating with third party vendors

Provide potential assistance to the Senior Manager, Executive Administration for internal (company-wide) event support and research
Requirements of the Event Specialist include:

Minimum of three years of demonstrated experience in managing and coordinating events.

Experience in the health insurance and self-funded insurance broker community is preferred but not required

Experience in the events / hospitality industry preferred

Ability to travel up to 25%

Ability to communicate with large audiences

Strong relationship building skills with internal and external parties

Strong ability to set priorities, meet deadlines and manage events

Strong presentation skills

Ability to work with varying levels of management

Able to work with various conference specific lead tracking tools with integration into Salesforce or HubSpot customer relationship management systems.

Ability to solve problems, pivot quickly and work under time constraints and handle last minute and same day requests
