Contemporary Staffing Solutions is seeking a Client Services Associate to join our client for a hybrid opportunity in Philadelphia, PA! As a Client Services Associate, your primary role is to provide steadfast support to designated Relationship Managers in their day-to-day interactions with clients. This multifaceted position involves portfolio management, trust and investment account administration, adherence to compliance requirements, and various other tasks aimed at fostering strong client relationships with both external professional advisors and internal business partners. Responsibilities:

Aid relationship managers in administering trust, investment, and retirement accounts.

Responsibilities encompass daily transaction processing, handling securities transfers, processing cash and check requests, managing deposits, addressing routine client inquiries, and updating client information.

Regularly monitor and review daily reports to ensure accuracy, resolve issues, and follow up as needed.

Assist with account opening, asset transfers, account terminations, and special asset management.

Become proficient in client support technology systems, including the client relationship management system and the system of record for client transactions.

Manage incoming and outgoing client communications, which includes drafting correspondence and overseeing document retention.

Serve as the initial point of contact for client inquiries and team communications.

Handle routine to moderately complex client matters independently, conducting research and taking appropriate actions with guidance from senior officers, as necessary.

Act as a backup to other team/office support professionals, ensuring seamless team-based coverage.

Coordinate client meetings, including scheduling, arranging dining, travel, security, and related activities.

Assist in receiving client guests and answering office phones as needed.

Communicate with clients professionally and discreetly, maintaining confidentiality in all interactions.

Prepare client meeting materials, collaborate on presentation materials for meetings, and coordinate with various departments to meet deadlines.

Assist in completing expense reports and other related requirements for professionals.

Develop a strong understanding of Portfolio Management & Wealth Advisory functions, as well as company policies, procedures, and best practices.

Participate in special projects and identify opportunities for process improvements.

Fulfill any other duties and responsibilities assigned, always ensuring compliance with company policies and practices.
Required Qualifications:
-
Bachelor’s degree or equivalent experience is required.

At least 1 year of internship, co-op, or working experience in Financial Services or a related field.

Minimum of two years of experience in financial services, with a preference for experience in a fiduciary environment. (Preferred)

Proficiency in Microsoft Office and electronic tools and systems for daily tasks, including document management, investment reporting, and transaction processing. Knowledge of Salesforce.com applications is a plus.

Exceptional interpersonal skills, with a demonstrated ability to effectively interact with clients in person and over the phone, as well as other professionals.

Strong verbal and written communication skills and a pleasant telephone manner.
