Contemporary Staffing Solutions is seeking a Program Support Specialist to join our client in Metuchen, NJ! This position serves as the linchpin of our client’s clinics, ensuring seamless operations, client satisfaction, and effective communication with our dedicated team. Key Responsibilities:
  • Oversee the clinic schedule, including coordinating client sessions, staffing assignments, and accommodating cancellations.
  • Act as the morning custodian, commencing clinic operations at 8am and assisting with cleaning and setup.
  • Perform evening closure duties, aiding in cleaning and ensuring the clinic is ready for the next day.
  • Manage general office operations, which includes cleaning, stocking, filing, organizing, and supply procurement.
  • Extend a warm welcome to clients and families each day.
  • Flexibly adjust the schedule to address staff or client call-outs.
  • Assist the Clinical Director in managing clinic processes and protocols within the Practice Management System.
  • Conduct necessary reports and audits, such as conversion audits and signature verification.
  • Interact with families with a positive attitude, answering any inquiries during pick-up and drop-off.
  • Uphold client and family satisfaction, escalating any concerns to the Clinical Director.
  • Report and troubleshoot clinic-related issues, including site maintenance, with support from the Central Office.
  • Collaborate with the Clinical Director to coordinate team engagement activities, including staff meetings, team-building events, community outreach, welcome activities for new team members, and acting as a fill-in RBT when required.

Qualifications:
  • A minimum of 1 year of experience in medical administration, preferably in a doctor's office setting.
  • Experience in ABA or the behavioral health field is a significant advantage.
  • An Associate Degree or higher in Healthcare Administration or Business is preferred but not mandatory.
  • Exceptional communication and customer service skills.
  • Prior experience with medical billing and electronic medical records (EMR) is preferred.
  • Confident telephone etiquette, adeptness in professional email communication, and strong interpersonal skills.
  • A pleasant and compassionate demeanor, particularly important for interactions with parents and children facing behavioral challenges, as well as in addressing staff-related issues.
  • Must possess a caring and understanding attitude.
