Contemporary Staffing Solutions is seeking a detail-oriented and experienced New Business Intake Coordinator to join our client for a hybrid/remote role in Philadelphia, PA! As a New Business Intake Coordinator, you will play a crucial role in facilitating the onboarding of new clients and ensuring compliance with conflict of interest protocols. The ideal candidate will have a strong background in new business intake processes, be proficient with Aderant Expert and conflicts database software, and possess a keen understanding of conflict of interest principles. This Direct-Hire opportunity offers an annual salary up to $75,000/year!

Responsibilities:
  • Run conflicts checks and ensure appropriate waivers/clearances and approvals are obtained.
  • Manage the Conflict inbox, organizing and completing requests in a timely manner.
  • Process new business intake forms to open new matters through Aderant Expert, maintaining a 24-hour turnaround.
  • Collaborate with staff to ensure accurate information for formal opening of new matters.
  • Send engagement letters to Billing for the creation of rate codes for new billing clients.
  • Determine attorney origination credits, update the master spreadsheet, and maintain accurate information in Entity Manager in Expert.
  • Apply proper billing rates to each matter, including adding the bill cycle.
  • Ensure quality control of matter data, ensuring completeness for every new file.
  • Re-open files as necessary, including re-running conflicts checks and verifying matter parties, billing contacts, rates, and originations.
  • Make record changes to files, such as adjusters, addresses, offices, billing attorneys, clients, and bill cycles.
  • Close designated matters upon receipt of staff emails, updating the bill cycle to final for billing.
  • Manage the Records inbox, ensuring that requests are organized and completed promptly.
  • Maintain and update the conflict database with current information regarding clients and their affiliate relationships.

Qualifications:
  • Minimum of two (2) years of prior New Business Intake experience in a law firm setting.
  • Experience with Aderant Expert and conflicts database software.
  • Strong knowledge of conflicts of interest and new business intake principles.
  • Ability to work independently in a high-volume practice and take initiative.
  • Strong multitasking skills with the ability to juggle multiple projects simultaneously.
