Contemporary Staffing Solutions is seeking Support Oversight Supervisor to join our client for a hybrid opportunity in Wilmington, DE! The Support Oversight Supervisor will manage the daily operations and coverage needs of the Legal Assistant Services, Secretarial Services, and Legal Technology Departments. This Direct-Hire opportunity offers an annual salary range of $125,000-$140,000/year based on experience!
Essential Functions:

Oversee daily assignments, operations, ongoing projects, and employee development within the Departments.

Ensure timely and accurate responses to service requests.

Maintain up-to-date knowledge of all procedures and firm software.

Foster an environment of teamwork and self-directed work through internal and external training.

Implement programs to enhance departmental efficiency, employee knowledge, and leadership skills.

Promote professional development and advance training initiatives.

Develop and communicate departmental guidelines and procedures.

Actively seek and implement best practices for workflows and procedures.

Identify and communicate workplace issues and needs to higher management.

Collaborate with the Office Administrative Director and/or Director of Legal Assistant Services to ensure proper workflow and team assignments.

Regularly meet with attorneys to determine and manage operational support for new and ongoing cases.

Monitor time, attendance, overtime, and expenses to ensure compliance with firm policies.

Assist with budget preparation and expenditure monitoring.

Oversee disbursement reports to ensure compliant billing.

Manage scheduling and coordinate staffing for secretarial projects.

Utilize the firm's performance management process to set expectations, monitor, and manage employee performance.

Provide guidance for resolving work performance issues and participate in disciplinary procedures.

Demonstrate knowledge of the litigation process, case management skills, and corporate transactions.

Coordinate legal assistant staffing across offices.

Perform additional duties as assigned.
Requirements/Qualifications:

Bachelor’s degree required.

Minimum of five (5) years of relevant administrative management experience in a law firm or professional services environment.

Proven leadership and supervisory experience.

Proficiency in firm computer software programs (e.g., Outlook, Excel, PowerPoint) and ability to learn new systems.

Working knowledge of litigation matters and corporate transactions with legal technology experience.

Strong project management, process implementation, and change management skills.

Initiative and responsibility in handling departmental issues.

Current knowledge of industry best practices and trends.

Advanced technology skills, including MS Word, Excel, PowerPoint, and project management/database applications.

Excellent presentation, customer service, and communication skills.

Ability to execute instructions and firm policies with authority.

Ability to manage complex issues requiring independent discretion and judgment.
