Contemporary Staffing Solutions is seeking a dynamic Administrative Manager to join our client in San Francisco, CA! This role is critical in providing exceptional client-service focused support to our lawyers, clients, and legal personnel. The Administrative Manager will oversee the administrative support staff and related functions, ensuring efficiency and cost-effectiveness. This Direct-Hire role is offering up to $155,000/year based on experience and educational background!
Key Responsibilities:

Develop and implement staffing plans; manage administrative support assignments.

Collaborate with office management and practice group leaders to create staffing configurations aligned with workflow and support requirements.

Maintain the master administrative support schedule; manage daily desk coverage and overflow needs to ensure effective service delivery and staff utilization.

Review and approve administrative support vacation requests to ensure adequate coverage.

Ensure administrative support staff have the necessary training and information to fulfill their roles.

Engage temporary staff as needed; process and approve related invoices; monitor expenses.

Monitor administrative support ratios; work with the Regional Director of Administration - US to ensure compliance with ratio targets; prepare monthly ratio reports.

Ensure coverage for after-hours and weekend work, closings, off-site assistance for trial support, and special projects.

Work with practice group leaders on office logistics to optimize support for attorneys while maximizing the use of administrative support staff.

Direct and manage the work of administrative support staff and other assigned groups.

Oversee notary certifications and compliance to ensure current licenses and payment approvals.

Plan and execute employee events and activities related to the support teams and other assigned groups.

Lead by example; set clear expectations, direction, and priorities; balance work levels among staff; resolve internal staff issues promptly; keep staff informed; build an effective team; delegate appropriately.

Facilitate staff development by providing opportunities and support; offer timely feedback on work products; regularly coach, evaluate, and recognize staff performance and accomplishments.

Conduct regular one-on-one meetings with direct reports and team meetings.

Establish and adhere to the Department budget; seek opportunities to improve efficiency and reduce expenses by streamlining operations.
Experience/Qualifications:

Bachelor’s degree from a four-year college or university, and seven (7) years of progressively responsible experience in a leadership role, with at least three years in a supervisory role, or equivalent combination of education and experience.
