Contemporary Staffing Solutions is seeking a detail-oriented and highly organized Legal Assistant to join our client in Fort Lauderdale, FL! The ideal candidate will thrive in a fast-paced environment, manage a high volume of tasks efficiently, and take initiative to ensure all responsibilities are completed promptly. A background in legal administration, particularly within a law firm, is essential, and experience in Trust and Estates is a plus. This Direct-Hire opportunity offers an annual salary of $60,000-$75,000/year based on experience!

Key Responsibilities:
  • Provide comprehensive legal administrative support to attorneys and paralegals within the Trust and Estates department.
  • Manage departmental billing and invoicing processes.
  • Handle general correspondence and maintain both physical and electronic filing systems.
  • Take and direct client calls, conduct initial screenings for potential clients, and manage all aspects of client intake, including the collection of pertinent information and preparation of engagement documents.
  • Schedule and coordinate meetings, videoconferences, and conference calls.
  • Oversee attorneys’ schedules, contacts, and calendars.
  • Process expense reports and check requests.
  • Retrieve information from files and assist with follow-up on accounts receivable collections.
  • Support attorneys and paralegals in meeting preparation and other tasks as needed.
  • Maintain strict confidentiality of client information.
  • Efficiently manage information through various firm databases and software, including MS Teams, Word, Excel, iManage, and others.

Qualifications:
  • Minimum of 3-4 years of executive administrative experience, preferably within a law firm.
  • Experience in Trust and Estates is advantageous.
  • Proficiency in legal billing and calendaring.
  • Exceptional organizational skills and the ability to handle a high volume of tasks in a fast-paced environment.
  • Strong administrative skills, including familiarity with Outlook, Adobe, scanning to PDF, and other common office software.
  • Ability to work effectively with various law firm software.
  • Excellent communication and interpersonal skills, with the ability to handle client interactions professionally.
