Job Overview: We are seeking a highly organized and detail-oriented Operations Assistant to support administrative and clerical functions across various business operations, including communications, accounting, and appraisal services. Compensation: Starting at $17/hour Opportunity for permanent conversion within approximately 4 months
Key Responsibilities of the Operations Assistant: Serve as the first point of contact for incoming phone calls, providing professional and timely responses. Manage and monitor shared email inboxes, ensuring inquiries are routed appropriately. Assist with accounting tasks, including data entry, financial recordkeeping, and invoice reconciliation. Support internal appraisal review processes to maintain accuracy and compliance with quality control standards. Coordinate and oversee the distribution of physical mail, including handling FedEx and UPS shipments. Perform appraisal coordination and quality control duties as needed. Review, code, and approve vendor invoices to ensure timely processing. Identify and reconcile invoice discrepancies to maintain financial accuracy. Provide general administrative support and perform additional duties as assigned.
Qualifications and Skills for the Operations Assistant: Education: High school diploma required. Experience: Prior administrative or customer service experience preferred. Accounting Knowledge: Basic understanding of accounting principles, financial reconciliation, and invoice processing. Technical Skills: Proficiency in Microsoft Word and Outlook, with advanced Excel skills. Software Experience: Familiarity with QuickBooks Online or similar accounting software preferred. Attributes: Strong organizational skills, multitasking abilities, and excellent attention to detail.
Work Schedule: Onsite position in Wexford, PA 8:30am-5:00pm, Monday to Friday 2 week training process
