Job Overview: We are seeking a detail-oriented Office Administrative Assistant to support fleet management operations by processing invoices, resolving billing discrepancies, and handling vendor communications. This temporary contract position offers a hybrid work schedule after training, providing an opportunity to gain experience in a structured and collaborative environment.
Compensation:
$23/hour
Work Schedule:
Monday to Friday, 9:00 AM – 5:00 PM
Hybrid schedule: 3 days onsite, 2 days remote after training
Key Responsibilities of the Office Administrative Assistant:
Process fleet management maintenance vendor invoices, including upfit and rental invoices, ensuring timely payment.
Resolve rejected National Account invoices by updating purchase orders or returning them to vendors with clear explanations.
Respond to maintenance vendor inquiries via the CMS phone system.
Work with the Technical Call Center to reconcile discrepancies between approved purchase orders and vendor invoices.
Communicate with non-National Account vendors to address invoice issues.
Answer phone inquiries from Intellipay vendors regarding the Supplier Site.
Gather necessary information to activate new vendors in the Supplier Site for Intellipay.
Maintain clear and professional communication with the Team Leader and Management regarding job assignments.
Perform additional administrative tasks and special projects as assigned.
Qualifications and Skills for the Office Administrative Assistant:
Familiarity with Intellifleet, Infinium, and CMS phone systems.
Basic understanding of accounting principles.
Associate’s degree preferred but not required.
