Job Overview: We are seeking a detail-oriented and proactive Logistics Administrative Assistant to support vehicle delivery and licensing operations. This temporary-to-hire role requires strong organizational skills and the ability to collaborate with internal teams, dealerships, and transport vendors to ensure timely vehicle deliveries.
Compensation:
$22.50/hour
Work Schedule:
Monday to Friday, 8:30 AM – 5:00 PM (1-hour lunch)
100% onsite near Cherry Hill, NJ
Key Responsibilities of the Logistics Administrative Assistant:
Research vehicle delivery and licensing statuses at courtesy dealerships and transport vendors nationwide.
Communicate delays that may impact vehicle delivery timelines to internal stakeholders.
Maintain accurate and up-to-date records in the company’s tracking system, ensuring clear and concise documentation.
Process and reprint necessary paperwork, including Manufacturer’s Statements of Origin (MSOs) and driver, dealer, or licensing party changes.
Serve as the primary point of contact for dealership and transport vendor inquiries.
Collaborate with internal and external partners to ensure proper vehicle licensing and recommend best practices.
Assist in onboarding and training new partners.
Manage and oversee FleetTrak case inquiries, including escalation handling and timely client updates.
Troubleshoot supply chain and licensing delays while identifying alternative solutions.
Follow up proactively to ensure licensing deadlines are met.
Work closely with the Supply Chain Coordinator and Process Facilitator on projects, escalations, workload distribution, and client needs.
Perform additional duties and special projects as assigned.
Qualifications and Skills for the Logistics Administrative Assistant:
Associate’s or Bachelor’s degree preferred, or equivalent work experience.
Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, SharePoint, etc.).
Familiarity with office technology, including computers, fax machines, scanners, and phone systems.
Minimum of 1 year of experience in administrative services or a related field.
Background in automotive dealerships and/or transportation is a plus.
Strong organizational skills with the ability to multitask and prioritize deadlines.
Detail-oriented with excellent problem-solving and critical thinking skills.
Effective verbal and written communication skills, including the ability to interact professionally with employees, customers, and vendors.
Ability to work independently and collaboratively in a team environment.
