Job Title: Proposal Coordinator

Job Overview:
We are seeking a dedicated and detail-oriented Proposal Coordinator to join our team and play a vital role in supporting our clients' operations. This hybrid, temporary-to-hire position, based in Philadelphia, PA, focuses on managing and coordinating the development of RFPs and RFIs to support sales objectives across various business lines, ensuring high-quality and timely responses.

Compensation:
  • Up to $28.20/hour.

Work Schedule:
  • Monday–Friday, normal business hours
  • Onsite at least three days weekly (Tuesday, Wednesday, and Thursday)

Key Responsibilities of the Proposal Coordinator:
  • Oversee the preparation, coordination, and timely delivery of RFP and RFI responses to support sales initiatives across various markets.
  • Lead the proposal development lifecycle, ensuring consistency, accuracy, and adherence to compliance requirements.
  • Partner with sales teams and internal stakeholders to craft compelling messaging that aligns with strategic business goals.
  • Conduct planning sessions to establish proposal strategies tailored to client needs and expectations.
  • Review proposal requests and supporting documents to assess requirements, scope, and compliance considerations.
  • Work closely with subject matter experts (SMEs) to gather, refine, and customize content for proposal submissions.
  • Leverage proposal management software to enhance workflow efficiency and maintain an organized content repository.
  • Ensure all final submissions are polished, aligned with branding guidelines, and effectively address client objectives.
  • Track regulatory updates and solicitation modifications to ensure proposals remain compliant and up to date.
  • Maintain accurate records of past proposals and contribute to content management for future use.

Qualifications and Skills for the Proposal Coordinator:
  • Bachelor’s degree in Communications, Business, or a related field, or equivalent work experience.
  • 2-4 years of experience in a high-pressure environment managing RFP and RFI processes.
  • Strong written and verbal communication skills, with the ability to articulate strategy effectively.
  • Exceptional project management skills, including the ability to meet strict deadlines.
  • Experience facilitating strategic discussions and collaborating with multiple stakeholders.
  • Highly detail-oriented with strong analytical and problem-solving skills.
  • Ability to work both independently and collaboratively in a fast-paced setting.
