Job Overview: We are seeking a dedicated and detail-oriented Proposal Coordinator to join our team and play a vital role in supporting our clients' operations. This hybrid, temporary-to-hire position, based in Philadelphia, PA, focuses on managing and coordinating the development of RFPs and RFIs to support sales objectives across various business lines, ensuring high-quality and timely responses.
Compensation:
Up to $28.20/hour.
Work Schedule:
Monday–Friday, normal business hours
Onsite at least three days weekly (Tuesday, Wednesday, and Thursday)
Key Responsibilities of the Proposal Coordinator:
Oversee the preparation, coordination, and timely delivery of RFP and RFI responses to support sales initiatives across various markets.
Lead the proposal development lifecycle, ensuring consistency, accuracy, and adherence to compliance requirements.
Partner with sales teams and internal stakeholders to craft compelling messaging that aligns with strategic business goals.
Conduct planning sessions to establish proposal strategies tailored to client needs and expectations.
Review proposal requests and supporting documents to assess requirements, scope, and compliance considerations.
Work closely with subject matter experts (SMEs) to gather, refine, and customize content for proposal submissions.
Leverage proposal management software to enhance workflow efficiency and maintain an organized content repository.
Ensure all final submissions are polished, aligned with branding guidelines, and effectively address client objectives.
Track regulatory updates and solicitation modifications to ensure proposals remain compliant and up to date.
Maintain accurate records of past proposals and contribute to content management for future use.
Qualifications and Skills for the Proposal Coordinator:
Bachelor’s degree in Communications, Business, or a related field, or equivalent work experience.
2-4 years of experience in a high-pressure environment managing RFP and RFI processes.
Strong written and verbal communication skills, with the ability to articulate strategy effectively.
Exceptional project management skills, including the ability to meet strict deadlines.
Experience facilitating strategic discussions and collaborating with multiple stakeholders.
Highly detail-oriented with strong analytical and problem-solving skills.
Ability to work both independently and collaboratively in a fast-paced setting.
