Job Title: Trust & Estates Legal Assistant

Job Overview:
We are seeking a dedicated and detail-oriented Trust & Estates Legal Assistant to join our client and play a vital role in supporting their legal operations. This 100% onsite, permanent/direct-hire position based in Naples, Florida, focuses on supporting a team of estate planning attorneys by preparing legal documents, coordinating client communications, and managing administrative tasks related to wills, trusts, and powers of attorney.

Compensation:
  • $60,000 – $65,000/year

Work Schedule:
  • Monday – Friday, normal business hours

Key Responsibilities of the Trust & Estates Legal Assistant:
  • Draft, format, and finalize legal documents including wills, trusts, and powers of attorney
  • Compose and distribute correspondence and cover letters in response to client inquiries
  • Coordinate and organize administrative and legal resources to support timely project completion
  • Transcribe and proofread legal documents from dictation, handwriting, or existing content
  • Handle mailings and email communications with clients
  • Maintain updated electronic and paper files of legal documents
  • Screen and relay accurate telephone messages; respond to routine matters
  • Manage attorney calendars and schedule client meetings for document modifications and signings
  • Serve as a witness and/or notary for document executions, including occasional offsite signings
  • Bind and prepare documents for client delivery

Qualifications and Skills for the Trust & Estates Legal Assistant:
  • 1–2 years of legal secretarial experience in the trust and estates field preferred
  • Strong technical, organizational, and communication skills
  • Proficiency in MS Word (Styles), Outlook, and electronic document management systems (FileSite experience a plus)
  • Excellent time management and the ability to adapt to shifting priorities
  • High attention to detail with superior proofreading, grammar, and spelling skills
  • Professional and effective client-facing demeanor
  • Ability to handle confidential information with discretion
