Job Title: Office Manager
Job Overview:
We are seeking a dedicated and detail-oriented Office Manager to join our client and play a vital role in supporting our client’s operations. This onsite, permanent/direct-hire position based in Wilmington, DE, focuses on ensuring the efficient and smooth day-to-day administrative functions of the office, while supporting financial, scheduling, and operational tasks.
Compensation:
- $55,000 – $62,000/year (depending on experience)
Work Schedule:
- Monday through Friday, 8:30 AM – 5:00 PM
Key Responsibilities of the Office Manager:
- Serve as the go-to administrative resource, providing proactive support to staff and leadership across the organization
- Oversee daily financial tasks, including billing, expense tracking, and processing of accounts payable and receivable
- Support the grant management process by monitoring key dates, compiling reports, and ensuring compliance with submission requirements
- Maintain and organize important records, including certifications, student documentation, and institutional files
- Manage shared calendars and ensure efficient coordination of internal and external schedules
- Monitor and restock office supplies, handle equipment needs, and manage general office expenditures
- Welcome and assist visitors, including students, alumni, guests, and key partners, with professionalism and care
- Draft, distribute, and track various types of correspondence and communications
- Organize logistics for meetings, virtual sessions, and conference calls
- Coordinate use of coworking and shared office spaces, including scheduling of conference rooms and amenities
- Foster clear and professional communication with staff, board members, corporate partners, and other stakeholders
- Take initiative on additional projects and tasks that support the smooth operation of the office
Qualifications and Skills for the Office Manager:
- 5+ years of experience in office and administrative management in a professional environment
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Detail-oriented with a logical and proactive mindset
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs, Sheets)
- Comfortable working with diverse stakeholders and managing multiple priorities
- Bachelor’s degree preferred
- Technically proficient with platforms such as Zoom and Slack (preferred)
- Prior experience in higher education or workforce development is a plus
- Ability to lift/move items up to 25 pounds and work flexible hours as needed
