Job Title: Trust & Estates Legal Assistant or Paralegal
Job Overview: We are seeking a dedicated and detail-oriented Trust & Estates Legal Assistant or Paralegal to join our client and support their estate planning and administration practice. This onsite, permanent position based in Tampa, FL, offers the opportunity to work in a professional legal environment, providing vital support to attorneys through administrative and paralegal functions. Ideal candidates will bring a client-focused attitude, strong organizational skills, and experience in the trusts and estates field.
Compensation:
Legal Assistant: $23.00 – $32.00/hour depending on experience, eligible for overtime
Paralegal: $65,000 – $90,000/year depending on experience, eligible for overtime
Work Schedule:
Monday through Friday, standard business hours
Key Responsibilities of the Trust & Estates Legal Assistant or Paralegal:
Provide administrative and legal support in estate planning and trust administration matters
Manage attorney calendars, including scheduling meetings, appointments, and travel
Draft, edit, and proofread legal documents and correspondence
Prepare and process expense reports, reimbursements, and check requests
Assist with monthly billing processes and review billing prebills for accuracy
Input, review, and manage time entries in a web-based system
Open new matters, run conflict checks, and organize case files
Maintain both digital and physical filing systems, including file indexing and archiving
Ensure all client and firm information is handled with strict confidentiality
Utilize legal software for document generation and probate form preparation (experience with Lawgic and Probate Form Builder is a plus)
Qualifications and Skills for the Trust & Estates Legal Assistant or Paralegal:
Minimum 3 years of experience in Trust & Estates legal support or executive-level administrative support
Demonstrated knowledge of estate plan drafting and estate/trust administration preferred
Familiarity with Lawgic and Westlaw’s Probate Form Builder highly desirable
Proficient in Microsoft Office Suite (Word, Excel, Outlook; PowerPoint a plus)
Strong grammar, writing, and communication skills
High attention to detail and accuracy in documentation
Ability to multitask, prioritize, and adapt to changing assignments
Professional demeanor and client-oriented mindset
Bachelor's degree preferred but not required
