Job Title: Executive Assistant
Job Overview:
We are seeking a dedicated and detail-oriented Executive Assistant to support the day-to-day operations of a high-level executive team. This hybrid, direct-hire position, based in Malvern, PA, focuses on ensuring efficient communication, seamless scheduling, and strategic administrative support at the executive level. The ideal candidate will bring a high level of professionalism, discretion, and organizational ability to a fast-paced and collaborative work environment.

Key Responsibilities of the Executive Assistant:
- Prepare regular reports and executive summaries that track progress toward business goals and key performance indicators
- Create high-quality presentations, proposals, and internal documents for leadership use
- Maintain and update internal contact lists and key customer information
- Facilitate effective communication across departments and ensure seamless sharing of relevant updates
- Support the development and improvement of internal communication systems and workflows
- Manage complex calendars, schedule appointments, and coordinate travel arrangements for senior leaders
- Organize and support executive-level meetings and conference calls
- Assist in the coordination and execution of various strategic and operational projects
- Plan and execute internal events such as offsite meetings, team-building activities, training sessions, and conferences
- Prepare agendas, briefing materials, and meeting documentation for both internal and external engagements
- Manage relationships with vendors and service providers, ensuring timely invoicing and payment
- Track due diligence and remediation activities, supporting related documentation and follow-up
- Oversee the design and upkeep of organized filing systems to ensure accessibility and accuracy
Qualifications and Skills for the Executive Assistant:
- 8+ years of recent experience supporting a C-suite executive
- Background in supporting leadership within a larger or structured corporate environment (global experience is a plus but not required)
- High level of professionalism and executive presence
- Strong interpersonal skills with the ability to build relationships across an organization
- Polished communication skills, both written and verbal
- Proactive and service-oriented attitude
- Exceptional organizational and multitasking abilities
- Ability to remain composed, discreet, and efficient under pressure
