Job Title: Administrative Assistant

Job Overview:
We are seeking a dedicated and detail-oriented Administrative Assistant to join our client and play a vital role in supporting their operational and administrative functions. This onsite, temporary-to-hire position based in Philadelphia, PA, focuses on ensuring seamless communication, document management, and coordination across the department. The ideal candidate will bring strong organizational skills and a proactive mindset to a dynamic team environment.

Compensation:

  • $28.00/hour

Work Schedule:

  • Monday through Friday, standard business hours
  • Option to start as early as 6:00 AM based on preference

Key Responsibilities of the Administrative Assistant:

  • Answer, screen, and log incoming calls; research and resolve minor inquiries; escalate complex issues appropriately and follow through to resolution
  • Support department leadership with scheduling meetings, conferences, and travel arrangements
  • Prepare and edit forms, reports, correspondence, and internal documents
  • Coordinate services with vendors and maintain productive working relationships
  • Manage office supply inventory and ordering; ensure supplies are securely stored and readily available
  • Maintain accurate manual and digital filing systems, ensuring compliance and accessibility
  • Facilitate internal communication processes to support departmental collaboration
  • Enter timekeeping data into the system and scan confidential materials
  • Track and follow up on internal correspondence and deliverables within the division
  • Assist with special projects and perform additional administrative tasks as assigned

Qualifications and Skills for the Administrative Assistant:

  • High School Diploma or GED; 2–3 years of administrative experience, ideally in a utilities or service-based environment
  • Strong mathematical and problem-solving abilities for tasks such as processing purchase orders and reviewing budgets
  • Excellent verbal and written communication skills; able to build positive relationships with colleagues, vendors, and stakeholders
  • Well-organized with the ability to multitask and work independently
  • Familiarity with general office procedures, including scheduling, recordkeeping, copying, and emailing
  • High attention to detail when handling documentation and data entry
  • Customer service mindset and collaborative attitude
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
