Job Title: Office Manager
 

Job Overview:
Contemporary Staffing Solutions is seeking an Office Manager to join our client to support daily operations and provide essential administrative and technical insurance assistance within their New York office. This role combines traditional office management with direct support to senior leaders and the commercial insurance team, ensuring smooth operations, efficient client servicing, and a welcoming office environment. The Office Manager will coordinate meetings, oversee office logistics, and handle policy documentation and client requests for a close-knit team of about 25 employees. This is a full-time, onsite, direct hire opportunity based in New York, NY.
 

Compensation:
$65,000 – $80,000 annually (paid hourly; eligible for overtime when approved)
 

Work Schedule:
Monday through Friday, regular business hours
 

Key Responsibilities of the Office Manager:
• Oversee daily office operations including scheduling, visitor coordination, supply management, and vendor communication to maintain an efficient and professional workspace.
• Provide high-level administrative support to leadership, including calendar management, meeting preparation, and document organization.
• Collaborate with account executives and team members to prepare proposals, process certificates of insurance (COIs), auto ID cards, renewals, and policy documentation.
• Support internal and client communications by handling inquiries, coordinating follow-ups, and ensuring timely completion of client service requests.
• Maintain organized electronic and physical records in compliance with company standards and assist with basic invoicing or billing tasks when needed.
• Assist with special projects, office events, and process improvements that enhance team efficiency and client satisfaction.
 

Qualifications and Skills for the Office Manager:
• 5+ years of professional experience in administrative, operations, or office management roles supporting senior leaders or multiple stakeholders.
• Proficiency with Microsoft Office Suite and comfort working with electronic document management systems.
• Strong organizational and multitasking skills with a high attention to detail and accuracy.
• Ability to handle confidential information with discretion and professionalism.
• Excellent interpersonal and communication skills with a proactive, team-oriented mindset.
• A bachelor’s degree is preferred; equivalent professional experience will also be considered.
• Experience in the insurance or real estate/construction industry is a plus but not required.
