Job Title: Office Administrator


Job Overview:
Contemporary Staffing Solutions is seeking an Office Administrator to join our client to support the organized processing, tracking, and management of tax-related documentation and day-to-day departmental operations. This role ensures timely filing activities, maintains accurate records, and provides essential administrative assistance to a busy team. The ideal candidate is detail-oriented, proactive, and comfortable working in a structured financial services environment. This opportunity offers strong exposure to tax operations and collaborative departmental workflows.


Compensation:
$20–$21/hour


Work Schedule:
Monday–Friday, normal business hours | Hybrid, 3–4 days onsite


Key Responsibilities of the Office Administrator:

Tax Documentation & Processing Support

  • Assist with preparing, filing, and tracking federal and state tax returns.

  • Maintain detailed documentation and processing records for filings.

  • Ensure timely remittance of estimated tax payments and communicate cash needs to internal partners.

Administrative Operations

  • Process check requests and deposit refund checks.

  • Maintain organized audit trails and follow document management and retention procedures.

  • Gather information to support team members in completing tax-related work.

  • Provide general administrative support as needed across the department.

Team Collaboration & Communication

  • Work closely with administrative associates, advisors, and internal stakeholders.

  • Support clear communication and smooth coordination of tasks across the department.

Process Improvement & Department Engagement

  • Participate in initiatives focused on enhancing efficiency, workflow, and user experience.

  • Contribute ideas that strengthen team capabilities and improve processes.


Qualifications and Skills for the Office Administrator:

  • Bachelor’s degree preferred; equivalent experience is welcome.

  • At least two years of experience in financial services; fiduciary or trust experience is a plus.

  • Ability to work overtime during peak periods.

  • Proficiency in Microsoft Office and digital document management tools.

  • Salesforce experience is beneficial.

  • Excellent communication and interpersonal skills.

  • Strong organizational skills, accuracy, and problem-solving abilities.

  • Ability to balance multiple tasks in a deadline-driven environment.

  • Self-starter with strong initiative and a commitment to confidentiality.
