Job Title: Administrative Assistant
Job Overview:
Contemporary Staffing Solutions is seeking an Administrative Assistant to join our client to support daily HR operations and ensure a smooth experience for employees and new hires. In this role, you will serve as a key point of contact for HR related inquiries, helping resolve issues and routing more complex needs to the appropriate partners. You will also contribute to efficient onboarding processes by coordinating offer letters, background checks, and new hire documentation. This position is ideal for someone who enjoys a blend of customer service, administrative structure, and detail driven tasks within a fast paced environment.
Compensation:
$25.50/hour
Work Schedule:
Monday–Friday, standard business hours
Hybrid — Onsite Tuesday–Thursday in Philadelphia, PA

Key Responsibilities of the Administrative Assistant:

  • Deliver responsive support to employees by addressing questions related to HR policies, benefits, system navigation, and general employment topics, ensuring accurate documentation of each inquiry.
  • Serve as an initial resource for employee relations concerns, maintaining strict confidentiality and escalating issues appropriately.
  • Coordinate hiring and onboarding activities, including preparing offer letters, monitoring background checks, and confirming that new hire data is complete and accurate.
  • Manage administrative and data tasks, ensuring timely entry, updates, and quality checks across HR systems and onboarding platforms.
  • Oversee the progress of pre-employment and onboarding requirements, ensuring all activities meet established procedures and service expectations.

Qualifications and Skills for the Administrative Assistant:

  • Experience in HR support or a customer focused environment with strong communication skills.
  • Ability to navigate high volumes of inquiries while maintaining professionalism and consistency.
  • Exceptional attention to detail, accuracy, and accountability in handling data and documentation.
  • Familiarity with Microsoft Office tools and comfort learning HR information systems.
  • Strong organizational habits and the ability to follow structured processes while meeting deadlines.
