Job Title: Office Coordinator
Job Overview:
Contemporary Staffing Solutions is seeking an Office Coordinator to join our client to support daily claim intake operations and ensure timely, accurate processing of essential documentation. This role plays a key part in maintaining smooth workflow across the claims team by entering and routing information with precision, resolving processing issues, and assisting both internal partners and external customers. The Office Coordinator will also contribute to service level commitments by prioritizing accuracy, speed, and professional communication. This position is perfect for someone who enjoys structured tasks, dependable routines, and being a steady support resource within a collaborative team. This is a contract to hire opportunity based in King of Prussia, PA with a hybrid schedule.
Compensation:
$20.00 per hour
Work Schedule:
Monday through Friday; after training, one late shift until 8 PM weekly (typically on a remote day); hybrid schedule with three days in office and two days remote, never in office on Fridays
Key Responsibilities of the Office Coordinator:
- Support claim intake by entering First Notice of Loss details and related information into internal systems with high accuracy while meeting established volume and quality metrics.
- Manage policy attachments and claim documentation by reviewing, uploading, and linking required forms to ensure complete and compliant records.
- Facilitate smooth resolution of claim routing by sending standard communications, distributing documents to the appropriate teams, and addressing system workflow or robotics issues as they arise.
- Maintain service level expectations by processing submissions within defined turnaround times and contributing to team production goals.
- Partner with brokers, agencies, customers, and internal departments to provide clear communication and a positive service experience.
Qualifications and Skills for the Office Coordinator:
- At least one year of administrative or office experience with strong data entry capabilities and familiarity with standard business software.
- Customer service experience with the ability to communicate professionally in writing and over the phone.
- Consistent work history showing reliability, accountability, and long term commitment to roles.
- Basic proficiency in Microsoft Office tools and comfort learning new systems or processes.
- A degree in a related field is preferred, though professional experience is equally valued.
