Human Resources Assistant
Our client is looking for a dedicated Human Resources Assistant to join their team in Philadelphia, PA! As the HR Assistant, you will primarily be responsible for providing administrative support to the Financial Controller including assisting in all aspects of human resources including but not limited to policy and procedure development and implementation; employment; benefits; salary and wage administration; recruitment; safety; and government reporting requirements. This Direct-Hire position is offering a salary range of $45,000-$55,000/year!
Responsibilities of the HR Assistant include:
- Greet visitors and answer phones in a pleasant, courteous, and professional manner.
- Generate Estimates as requested via phone or incoming email.
- Perform all necessary requirements for team members Security Clearances and Badges including but not limited to taking photos, coordinating drug screening tests, and updating personnel data within vendor portals.
- Maintain personnel files in compliance with internal and external regulatory requirements.
- Assist to develop and conduct new employee orientation.
- Assist with benefit plan administration.
- Handle routine inquiries related to attendance, benefits, and other general Human Resources information.
- Assist with recruitment and selection.
- Plan and coordinate company functions and events
- Respond to correspondence/employment verifications.
- Type routine correspondence, drafts, correspondence, memos, job descriptions, job opening announcements.
- Responsible for maintaining labor law posters in compliance with all required federal, state, and local laws.
- Read and route incoming mail.
- Uses spreadsheet and related software to create or display information on reports, graphs, charts, etc. Performs basic mathematical calculations as appropriate. Creates forms and templates as needed.
- Maintains and updates Employee Handbook and Safety manuals regarding changes, revisions and new HR policies and procedures.
- Orders Office Supplies and Inventory as needed on an ongoing basis.
- Other projects and duties as assigned.
- Assist Controller with the Administration of the Insurance Policies for Certificates of Insurance, including but not limited to managing auto insurance accident claims and disability claims.
- Communicate and Coordinate IT Support as needed with the Networking contractor
- Back-up support for the Contract Administrator during leave of absence
Required Qualifications :
Qualifications of the HR Assistant include:
- Three years relevant administrative experience and human resources experience.
- Working knowledge including Microsoft Word, Excel, PowerPoint and Deltek (preference)
- Must have excellent communication, presentation, and organizational skills
- Must be able to work independently
- Must be committed to providing quality services to employees and clients
- Must be good at multi-tasking
