Marketing and Development Associate

A Marketing and Development Associate is needed for a position in Philadelphia, PA! As the Marketing and Development Associate, you will be responsible for donor database administration and providing writing, research, operational, and customer relations support for marketing, development and special event initiatives. 

Responsibilities of the Marketing and Development Associate include:

  • Serving as donor database administrator and resident expert for fundraising/auction software; performing structural changes to meet department needs; training and providing ongoing assistance to users; troubleshooting all database related issues.

  • Maintaining database, managing large data sets, producing standard and custom reports, building queries, and generating mailing and email lists as needed to help with marketing and fundraising activities and campaign analyses.

  • In donor database, recording all donor gifts and pledges, corporate sponsorships and exhibitor activity, and event registrations.

  • Generating all donor acknowledgement letters.

  • Customizing Paypal and Weblink online payment pages.

  • Providing support in preparing marketing, development and events materials and proofreading as necessary.

  • Creating and sending effective e-mail marketing and fundraising blasts.

  • Reconciling gift deposits with fiscal department at month -end.

  • Supporting Special Events manager with coordination of event logistics: pre-event, on-site and post-event.

  • Maintaining and updating monthly ad summaries for Milestones and Milestones e-news; and coordinating monthly billing of advertisers with fiscal department

  • Managing Milestones subscription and distribution lists, updating monthly, monitoring and problem-solving distribution issues, and reconciling monthly distributor invoice.

  • Fielding phone calls on Special Events line.

  • Providing back-up administrative support, as needed.

  • Performing other duties as assigned.

Required Qualifications :


  • Bachelor’s degree in Marketing, Business, or related.

  • (may substitute five years of relevant experience for a bachelor’s degree)

  • Two years fundraising database experience, Donor Perfect preferred

  • Two years’ experience in marketing, communications, development, or customer service

  • Working knowledge and demonstrated competency of databases and contact management systems, database concepts, practices and operations

  • Experience working with e-mail marketing system, Constant Contact preferred

  • Experience working with various computer applications, including Adobe Acrobat Pro, Microsoft Office and Publisher

  • Proven grammatical, writing, and editing abilities

  • Experience in managing administrative processes

  • Ability to think critically and take initiatives to improve efficiencies

  • Excellent written, interpersonal, organizational and documentation skills

  • Detail oriented; able to manage multiple priorities and work independently on projects

  • Excellent customer relations skills and ability to work with staff at all levels

  • Good problem solver; excellent judgement

  • Strong follow-through on all assignments

  • Self-motivated and strong work ethic
